Position Description:
Performs a variety of management and administrative duties for an integrated program office (IPO) consisting of a front office, business section, engineering section, and four software development projects and one data management project consisting of user representatives, program managers, and contract officer representatives. This position primarily supports the IPO front office consisting of a Director, two deputies, and a mission owner and deputy, but duties at times will require coordination with all elements of the office. This position requires a person with initiative, determination, problem-solving, and critical thinking skills who is able to work independently to navigate the challenges associated with operating in large organizations. Versatility is another important characteristic needed because daily tasks may pivot between purely administrative to process or problem-solving areas as we constantly seek to improve front office efficiency to better support the projects and staff. Other necessary skills include interpersonal communications, writing, and task management, which are foundational in helping support a diverse team of acquisition and engineering professionals. The position is challenging yet offers the rewards of autonomy and satisfaction of daily task completion that are essential to the success of a large, fast-moving organization. Duties:

  • Manage internal processes, document procedures, and recommend/initiate process improvements
  • Manage manpower and resource (e.g. seating) needs across all projects and staff sections.
  • Serve as the office Training coordinator and facilitator
  • Coordinate and/or facilitate meetings as requested by front office leadership.
  • Serve as office weekly activity report coordinator
  • Serve as office Awards coordinator
  • Serve as Office Information and Knowledge Management Lead.
  • Perform Records Management Tasks
  • Manage the Office Tasker process; internally and externally.
  • Manage executive email and calendar

Tasks include:

  • Directly support the Front Office Leadership on a daily basis.
  • Arrange and facilitate technical exchanges, senior staff coordination meetings, program reviews, and other program meetings on behalf of leadership. Capture action items and track progress as necessary, to include initiating follow-ups with Project and staff leads on behalf of the front office.
  • Exercise initiative in analyzing information flows from the front office to higher organizations and internally within the IPO. Make improvement recommendations (technical and/or process) and implement thoughtful solutions which improve communications and overall organizational efficiency.
  • Identify and facilitate training opportunities for projects and staff.
  • Maintain the organization chart and associated billet structures.
  • Update and circulate an Office Welcome Packet
    • For use by all incoming individuals to provide all pertinent on-boarding information
  • Manage a process for all office Inbound/Outbound personnel.
  • Track OCI cleared personnel start and leave dates by position.
  • Manage Office seating chart and personnel databases.
  • Compile and edit office’s Weekly Activity Report inputs from projects and staff.
  • Manage, coordinate, and edit office award submissions.
  • Maintain and manage the office information stores (currently based on SharePoint and Windows shared drives). Manage the Office SharePoint site (training will be provided if necessary).
  • Manage office tasker system on SharePoint site, consolidate responses, and respond on behalf of the organization. Brief status at the weekly staff meeting.
  • Assist office Records Management Officer in maintaining Records Management compliance. Training is available as required.
  • Assist senior leadership in managing and promulgating communications, policies and directives
  • Ensure e-mail distribution groups are optimized, accurate, and updated.
  • Support Front Office Ad Hoc tasks and report status to leadership.
  • Manage and fulfill administrative office supply needs

Skills and Experience:

Required:

  • Current Top Secret clearance with current SCI access and in-scope SSBI date.
  • Bachelor’s Degree (Four (4) years of specialized experience may substitute for a Bachelor’s degree.)
  • Two years’ specialized experience
  • Microsoft Office Suite experience

Desired:

  • Prior leadership and/or staff experience in military or like organizations.
  • Prior process improvement experience in complex organizations.
  • Prior experience using automated tools (JIRA, SharePoint, Confluence, Tableau) that made efficiency impacts on an organization
